Running a hospitality business is a constant balancing act. Between running the business, staff management, supplier emails, marketing, and customer service (and more!) there are never enough hours in the day. That’s why we’re launching a 12-week series on AI Time Savers for Hospo — practical tips and real-world examples of how artificial intelligence can help you reclaim time, reduce admin, and keep your focus on what matters most: your guests.
Each week we’ll spotlight one small, practical way you can use AI in your business — no jargon, no big budgets, just tools and ideas you can start using straight away.
Your AI ordering assistant: Turn AI into your inventory forecasting partner
How much chicken do you order for next week? Flour? Wine? Getting your ordering wrong costs you money — either through wastage when you over-order, or lost sales and disappointed customers when you run out.
Hospo operators rely on gut feel and experience to place orders, plus a scan of last week’s numbers. But AI can look at months of sales data, factor in upcoming events, seasonal patterns, and even weather forecasts to help you order smarter.
The Problem
- You’re ordering based on rough estimates or “what feels right”
- Customer trade is reportedly highly unpredictable currently
- Stock runs out mid-service, forcing expensive emergency orders or menu changes
- Perishables go to waste because you’ve over-ordered
- You’re carrying too much stock, tying up cash that could be used elsewhere
How AI can help as your AI ordering assistant
AI can analyze your historical sales data and identify patterns you might not spot yourself. It can tell you:
- Which items sell more on rainy Fridays versus sunny Saturdays
- How a local event or school holidays impacts demand for specific dishes
- When you consistently run short on certain ingredients
- Which seasonal trends affect your ordering needs
Quick Win: forecast your weekly order
Before placing your next big order, try this:
- Export your sales data for the past 3 months (most POS systems can do this easily)
- Upload it to your AI assistant and ask: “Based on this sales data, what should I order for next week? We’re expecting normal weather and no special events. I currently order X kg of chicken, Y kg of potatoes, etc.”
- Let AI analyze the patterns and suggest adjustments
- Compare its recommendations with your usual order and look for the differences
Going further
Once you’re comfortable with basic forecasting, you can:
- Ask AI to factor in upcoming events (“We have a private function for 40 on Saturday”)
- Compare supplier pricing and suggest when to switch or bulk-buy
- Track waste patterns and suggest menu adjustments
- Identify slow-moving stock before it becomes a problem
Remember
AI is giving you data-informed suggestions, not making final decisions. Your experience and knowledge of your business are irreplaceable — but AI can help you spot patterns and opportunities you might otherwise miss. Start with one or two high-value ingredients and expand from there.
Time saved: 30-60 minutes per week on ordering decisions, plus reduced waste and fewer emergency orders.
